Partner accreditation

Dear Partners, 

Accreditation of the Second Eurasian Women’s Forum partner company representatives in all categories (Standard Package participants, staff, drivers, and vehicles) will begin on 25 August 2018. 

Please take special care to note the key dates for providing information and the rules for using your partner company personal web office.

Your partner company personal web office contains the following information:

Accreditation for the duration of the Forum must be obtained for those partner company employees, drivers, and vehicles whose work requires that they be at the EAWF venue between 18:00 on 19 September 2018 and 23:00 on 21 September 2018. 

Accreditation for the setup/dismantling period must be obtained for those partner company employees, drivers, and vehicles whose work requires that they be at the EAWF venue from 09:00 on 10 September 2018 to 18:00 on 19 September 2018 and from 23:00 on 21 September 2018 to 23:00 on 25 September 2018. 

Please note that employees, drivers, or vehicles accredited for the duration of the Forum do not require accreditation for the setup/dismantling period. 

In order to obtain accreditation for participants, employees, vehicles, and drivers (to meet the needs of technical staff), you must: 

1. Complete a partner company card (the number of participants and staff provided must comply with the conditions of the partnership agreement). 

2. Scan a printed copy of the partner company card which has been signed and stamped by the director of your organization. 

Send an electronic copy of the partner company card in Excel format together with the scanned copy to yulia.kornilova@roscongress.org.

3. Receive an email from a manager in the Partner Services Directorate including an individual login and password which will enable you to access your personal web office.

4. Use your login and password to access your personal web office on the official Forum website

5. Complete forms for participants and staff (technical staff, vehicles, and drivers (to meet the needs of technical staff)). 

6. Upload photographs of participants and staff.

Photographs are not required for temporary passes (for the setup/dismantling period).

7. Once the forms for participants have been completed, login to each participant’s personal web office and, if needed, register their associated vehicles and drivers. 

Please note: vehicles (personal or rented) for Premium Package and Standard Package participants can only be registered via the participant’s personal web office. 

8. Applications for the accreditation of technical staff, drivers, and vehicles will be accepted from 25 August 2018 to 7 September 2018

Amendments and additions to lists must be agreed with the Head of the Partner Services Directorate and may be made until 9 September 2018

Amendments and additions after 9 September 2018 must be agreed with the Director of the Forum. 

9. To make the accreditation process as smooth as possible, participants have the option of collecting their accreditation badges from accreditation points at the Forum main venue, as well as at points of arrival and accommodation. 

10. Badges for staff (technical staff, stand attendants, and drivers) and vehicles may be collected in ONE accreditation package by an authorized individual with a passport and power of attorney from 13 to 16 September 2018. Please arrange pickup time in advance with the manager responsible for your organization. 

You can print a copy of the power of attorney and attached lists of technical staff, vehicles, and drivers from your partner company personal web office.

When collecting badges and temporary passes under a power of attorney, copies of the passports of all technical staff and drivers awaiting accreditation in accordance with the lists attached to the power of attorney must be presented. 

In the event that verification reveals inconsistencies with the passport data provided, it will not be possible to issue badges until changes have been entered and the information provided has been newly processed (this will take at least 3 working days). 

Technical staff/drivers may not collect their badges in person.

Information on locations issuing Standard Package participant badges and their opening hours will be made available at a later date.
